Civilian employees encouraged to update myPay to receive Smart LESs

On Dec. 29, the Air Force implemented the Smart Leave and Earnings Statement for Air Force civilian employees. Beginning on that date, most employees began receiving e-mail notifications when their SmartLES was available for viewing. Unfortunately, not all are receiving the notifications.

According to Mary Neher, a supervisory accountant for the Air Mobility Command Comptroller, the primary reason is the employees dont have an email address listed in myPay.

The Air Force provides the myPay office with updated official email addresses on a regular basis. However, employees can login to myPay to see if their email address is in the system.

If the employees email address isnt in the system, the process for updating myPay is relatively simple, said Ms. Neher. The first thing employees need is a myPay PIN, which they can acquire by contacting their local Financial Services Office. Employees can also go to the myPay Web site at
https://mypay.dfas.mil to obtain a PIN by mail. Once the employee logs in the first time, theyll be prompted to change the PIN to a customized myPay PIN.

She said employees can update their information on the Web site by entering either a personal or official email address in the personal settings page.

Once employees have a registered e-mail address on file, theyll begin receiving an e-mail from SmartDocs@dfas.mil containing a hyperlink to the following site where they can view their SmartLES:
https://smartdocs.dfas.mil. According to Ms. Neher, this e-mail is secure and safe, and is only sent to notify customers their LES is available.

According to a Defense Finance and Accounting Service fact sheet, the SmartLES is an enhanced LES product that contains two types of embedded links. One type of link provides explanatory text about information in specific blocks on the LES. The other type of link allows employees to compare changes in data from the previous pay period with the current pay period, such as gross pay, taxes, etc. In addition, the SmartLES has dynamic links to other applications and Web sites, such as the myPay system and the Office of Personnel Management Web site.

According to Carol Garcia, public affairs specialist for DFAS, heres how the system works.

When employees receive the e-mail notice stating the LES is available for viewing, they should click on the provided hyperlink. Doing so will connect them to the SmartDocs Web site. There, theyll login using their social security number and customized myPay PIN
just as if logging in to the myPay Web site. Once logged-in, employees can view the SmartLES.

Once the SmartLES is opened, employees will notice the titles of the LES blocks are highlighted in blue. When clicked, a text box will appear explaining the type of data in the block. There could also be some areas highlighted in green. These indicate areas where data has changed from the prior LES. After clicking on the green text, employees will see a comparison of the current data with the same data from the prior pay period. Another unique feature of the SmartLES is that it provides detail on the number of hours and type of leave used for each day in the pay period.

Privacy and security of personal information is one area employees need not worry about when using the SmartLES, said Ms. Garcia.

The email you receive will originate from DFAS SmartDocs, she said. Clicking on the link included in the e-mail will establish a secure socket layer connection with an encrypted session. This is just like logging on to the myPay site and using it. If you prefer, you can copy and paste the link into your Web browser or you can key it in to your Web browser directly.

SmartDocs is a supplemental delivery mechanism and does not replace information currently contained in myPay. Since users log-in using their myPay PINs and SSNs, SmartDocs does not require additional user IDs or passwords.

According to Ms. Neher, military members will also move to a SmartLES system in the near future.

This past January, Airmen started receiving e-mail notifications that their LESs were available in myPay, she said. They should be moving to the new SmartLES system, with links and notification of changes, within the next year or so.
